Our client, which is an established earth-moving/mining equipment manufacturer, currently has an opportunity for a Workshop Manager to manage the workshop operations in terms of machine rebuilds, new machine assembly, services and major component repairs for South Africa and to co-ordinate all technical training and operations of the company equipment. In addition, to provide and assist with technical and training input to the Field Service Technicians as well as Branch Managers.
The successful incumbent will be Trade Tested and have at least 5 years’ experience in a similar position.
To integrate quality into the business by ensuring that all machines are technically safe, coordinate to notify the customer of any technical changes or updates required on their machines and to ensure that the company complies with Section 21 of the Mines Health and Safety Act of 1996, Occupational Health and Safety Act as well as any relevant Acts.
Ensuring every component repair and rebuild machine is supplied according to customer specifications, regular feedback from customers after the sale and the customer is satisfied with the produced quality standards. If the customer is unhappy it is your responsibility to highlight the issues raised as part of your weekly report to the CEO. Manage and implement company standards, procedures as well as ensuring that the Workshop works according to the technical drawings at all times.
Plan, organize lead and control the day-to-day activities of the workshop, including staff management.
Ensure that the workshop is managed in accordance with the various employment, health and safety, factory, work statutes, regulations and in accordance with management objectives and instructions.
Interact with major customers, sales persons, services and senior managers, to identify opportunities for new products and/or service enhancements. Make use of learnings from the rebuild program to enhance the product and keep abreast with the latest technology. Take responsibility for the development and introduction of these modifications to the targeted customers in an ongoing basis.
Production Plan Execution
Execute the production plan for required for each rebuild and new machine manufacture at all times. Plan the production in the workshop on a daily basis, according to the available resources. Ensure the delivery of equipment within the time periods prescribed cost effectively.
To develop models on which to base recommendations to senior managers on resources required in field service departments and workshop in order to achieve budgeted revenue, productivity and result targets.
To utilize the rebuild program to ensure all learning from the rebuild program are implemented in newer models and to network with customers in order to ascertain their requirements and carry good suggestions forward into the rebuild program and the new machine designs.
Compile all daily, weekly and annual management information reports as required from management. This is to be done within the time frames as agreed with management.
The Workshop Foreman has to analyse weekly and monthly figures and demonstrate a clear and solid understanding of the figures coming out of the territory at all times. These figures are to be logged kept on record and communicated with the CEO at all times.
Develop, implement and maintain a basic system of quality control in order to maintain the integrity of engineering quality and standards of the company at all times.
Continuously asses the ability of staff to complete work required and train where deficiencies occur at all times.
Cleaning and maintain the workstation and equipment to ensure that everything is in the right place and order at all times.
In conjunction with branch and senior managers, establish and agree the pricing policy per product. To recommend annual tariff changes taking into account the competitive position, market share and profitability targets.
To take responsibility for liaising with other countries on requests for quotations ex ZA, ensuring that ZA prices comply with internationally negotiated agreements
To establish and formulate the annual marketing plan for South Africa with input from branch and senior managers. To assist in its implementation in support of budgeted targets and assistance in developing and increasing the customer base and work for the workshop by soliciting repair and overhaul work. Ensure field service work is performed to customer requirements at all times.
To develop effective communication systems both internally and externally to allow for the timely and effective dissemination of information that will support the company’s objectives and improve employee morale and understanding of company objectives.
Where necessary, to ensure that customer complaints and claims are treated as priority and resolved to everyone’s satisfaction. Evaluate complaints on a daily basis and escalate any serious complaints to the CEO. Investigate regular service failures and escalate to the relevant department heads.
Senior Management Team
Participate in the development of wider company policy and procedures as part of the Senior Management Team.
To ensure the resources are utilized cost effectively in order to add the most possible value with the available resources. To utilize the direct contact between the field service technicians and the customer to ensure best possible value can be added, by the relationships thus created.
Review and make recommendations on the incentive structures to ensure that they are equitable for all parties and are supportive of the overall marketing strategy. To investigate, agree and take responsibility for the success of the rebuild program and possibly find additional sales incentive programs designed to promote and reward exceptional sales achievement.
To ensure the workshop is operated safely at the highest possible margin, which benefits both the company and the customer.
Compile Cost and Sales budgets from a zero-cost base and amend budgets as and when required, in accordance with the agreed expectations of the Managing Director and Head of Departments.
Develop and plan expenditure and control all costs expenses in accordance with the accepted budget. Monitoring expenses versus budget, sales targets and striving towards a year on year improvement.
Training and Development
To identify training requirements of operational, personnel and in conjunction with HR departments in South Africa and the technical department of the company and OEM Partners to source and ensure implementation of relevant training programs and adhere to design measurement systems to enable assessment for effectiveness of training given. Make recommendations on the desirability, format, content and timing of sales conferences.
Train and motivate subordinates by means of:
- Reviewing their work
- Conducting performance appraisals
- Identifying training needs
- Implementing training
- Reviewing all of above done by other members of department
Conduct any specialized training that may be required.
Conduct any outsourcing training that may be required.
Facilitate the creation of an environment conducive to learning and performing for all staff reporting to the branch, allowing for creativity and personnel development within the framework of the branch activities.
Assisting personnel with personal and team concerns, while referring those issues for which company facilitation is required to the Human resources department.
Facilitate the motivation, loyalty and goal directed activities of all personnel and identifying possible areas for improvement.
Overseeing the accurate and timely payment of personnel remuneration and referring subsequent queries to the relevant human resources department.
From time to time recruit new personnel and justify to the management team the employment of new employees in accordance with acceptable skills and qualification standards, relevant to the identified vacancies that might exist.
Key Performance Indicators
Ensure that KPI’s are met on a daily basis and are used as a measurement tool to access personal performance.
Ensure that the security both internally (as in safeguarding of confidential company information) and externally as in the content of customer relationships, components and products is maintained at the highest levels on a daily basis.
Comply with the company’s safety instructions and requirements. Perform safety inspections on a weekly basis, including stock control and shortages.
Ensure that you are aware of the industrial relations procedure and to ensure that the correct disciplinary procedures are followed.
Ensure that the Company Policies are implemented at all times.
