Job Description:

Position details:
Type: permanent
Reports to: Supply Chain Manager.
Job description / core competencies:
Logistics processes
- Responsible to obtain cost estimates required for shipping and road transport in accordance with relevant Incoterms (2010)
- Facilitate the movement / logistics-flow of products from one destination to another (local, imports & exports)
- Coordinate and manage road transportation of spare parts and / or equipment to effectively meet customer demands
- Plan and coordinate deliveries in accordance with customer requirements and stipulated deadlines
- Prepare all logistics related documentation for both local and overseas shipments
- Take the necessary steps to minimise logistical risks to the business
- Continually review and monitor freight costs and transportation rates to ensure competitiveness
- Identification of opportunities to improve, both from a cost and efficiency perspective, and seek ways to streamline the shipping and transportation process where possible
- Update and maintain a shipping register with relevant details of all shipments
- General logistics administration and filing and safe keeping of documentation, both electronically and hard copies
- Liaison with shipping agents and transportation service providers
- Capturing of costs and surcharges in Infor/Baan system. Liaise with Warehouse to ensure timely processing of goods receipting and submit all relevant documentation to Finance Department for payment to be effected to agents and service providers
- Coordination and management of Project related logistics, as may be required
b) Procurement processes
- Request pricing and place orders for office and warehouse consumables, refreshments, and services as may be required
- Follow up and expedite ordered goods from Suppliers to ensure on time delivery
- Compilation and distribution of Weekly Procurement Department Meeting Minutes
- Keep and maintain Minutes of Meetings for ECP’s and QIR’s relevant to the Supply Chain Department
- Administration of e-mail references and Sales / Tender pricing requests
- Maintain and update Supplier files and records
c) Office Administration
- Assist Procurement office with general administrative tasks as may be required
- Keep Procurement filing up to date
- Assist Procurement Technicians with filing of material certificates and data books in accordance with Procurement Procedures
- Provide the necessary support in terms of maintaining the relevant ISO standards within the department
- Support Procurement Technicians with expediting of materials as may be required
- Pro-active reporting and communication to ensure smooth flow of goods and services to meet customer demands and deadlines

Job Qualification & Experience:
QUALIFICATION: Certificate/Diploma in the relevant field
EXPERIENCE: Minimum 3 years’ relevant working experience
