Position details:
Type: Permanent
Reports to: Specialised Instrumentation Services Supervisor
Primary purpose: Responsible for the administrative, planning and service coordinating functions for the Specialised Instrumentation Service department. To ensure that all repairs and service to both internal and external customers are delivered on time and according to our policies and procedures. To ensure that customer feedback with regards to status of repairs are given on a regular basis. Keep the CRM system updated.

Job description / core competencies:
Planning and scheduling of repairs and services
Planning and updating of the yearly schedule
Planning and updating of the monthly schedule
Onsite service calls – assist with scheduling of Technicians and booking of onsite assistance
Keep the CRM updated with both customer information and opportunities progress
Answering of office telephone
Dispatching & receiving of equipment
Shutdown management
Pre-shut site survey in conjunction with Technicians/Managers/QC
Pre-planning and scheduling of shutdowns
Customer shutdown progress reports are sent out to customer daily
After shut QC sent to customer
Obtain datasheets and material lists per repair
Obtain spares required for repairs
Submit relevant documentation to internal sales to quote spares
Follow up with internal sales until quote is received
Liaise with internal sales to ensure correct spares and labour are quoted
Liaise with order processing regarding the processing of customer orders and the ordering of spares and equipment
Liaise with expediting regarding delivery of spares and equipment
Liaise with stores to ensure that spares are issued on time to the workshop
General administration
Ensure repair is opened and updated per progress on financial system
Ensure the workshop repair system is always updated
Ensure PR1 and subcontractors are submitted in time
Works orders are issued to the stores in time
Scheduling of drivers
Ensure that sufficient stationery is kept in stock
Weekly and monthly financial reports
Assist with forecasting
Ensure Technicians’ recon sheets are completed weekly
Assist internal sales with labour quoting for site work and SLAs
Process SLA invoicing on monthly basis
Planning of Technician resources when required

Job Qualification & Experience:

Academic Qualifications:
Grade 12
Administrative / Planning Diploma (advantageous)

Experience:
4-5 years related experience
Rosemount and Micro Motion Product Knowledge (advantage)
Planning & scheduling experience
CRM knowledge (maximizer utilized)

Knowledge, Skills & Abilities:
Meticulous attention to document formats, layout, spelling and grammar
MS Office proficient – Excel and Word, specifically
