Job Description:

Report directly to the CFO, responsible for the effective processing and management of all administration linked to the payroll function for salaried and wages staff. This will include reconciliations
and payment management to all third parties that are linked to salaries, either as statutory bodies or benefit providers. Reporting on all financial elements will be completed with complete accuracy and
within specified timeframes.

Position details:
Type: Permanent
Reports to: CFO, but dovetails with HR and as such would have an indirect reporting line to the Hurman Resource Manager.
Primary purpose: The candidate will be responsible for the effective processing and management of all administration linked to the payroll function for salaried and wages staff. This will include reconciliations
and payment management to all third parties that are linked to salaries, either as statutory bodies or benefit providers. Reporting on all financial elements will be completed with complete accuracy and
within specified timeframes.

Job description / core competencies:

  • Manage administrative function relating to fortnightly wages and monthly salaries together with balancing all related reports into finance and the payroll system.
  • Receive and manage the entire payroll process with regards to remuneration increases, new engagements, terminations, hours received, claims submitted, medical aid reconciliations, garnishee
    orders, monthly EMP 201’s (including UIF submissions) annual EMP 501’s by agreed deadlines.
  • Prepare the consolidation of claims received from HR regarding travel, overtime, and allowances for referral to Senior Management for signature and approval.
  • Collate, check, and input all data received for the month on the system, ensuring 100% accuracy.
  • Ensure that salaries are paid on time as per specified pay dates for fortnightly and salaried staff.
  • Ensure financial reporting on all elements under this function are submitted at specified timeframes.
  • Prepare and ensure that all third-party payments are made by EFT or as per mechanism specified by the third party.
  • Interface with the HR construct to ensure alignment between HR and payroll activities, including assistance with related administration as required.
  • Assist with collation of evidence for Skills Development, Invoices and Costing summaries.
  • Complete necessary purchase order requests, and follow through on order placement, invoicing and payment by Finance – for Payroll and HR.

Job Qualification & Experience:

Academic qualifications:

  • Grade 12 (minimum requirement)
  • Certificate or Diploma in Payroll
  • Certificate or Diploma in Accounting will be an added advantage

Experience & abilities:

  • At least 5 years’ experience in the same or similar role
  • Payroll administration, MS Excel, payroll policies and procedure experience
  • Has prior exposure to UIF, Tax, Pension Fund and Medical Aid administration
  • Has a sound knowledge of tax legislation regarding (P.A.Y.E), Skills Development Levies, UIF
  • Ability to always maintain confidentiality
  • Good knowledge of GL journals and reconciliations
  • Ability to work under pressure and according to defined deadlines
  • Ability to perform complex tasks and to prioritise under stressful scenarios
  • Strong administrative skills

General requirements for the role:

  • Valid driver’s license (Code EB)
  • Own vehicle required
