Summary of responsibilities:
Handle enquiries, quotations, expediting orders, referrals, stock status and monthly container planning.
Liaising with the shipping agent with regards to freight quotations, bookings, and collections.
Plans and direct flow of air, ocean, and surface traffic moving to overseas destinations.
Examines invoices and shipping manifests for conformity to tariff and customs regulations.
Increase and develop import-export transportation, warehouse and logistics programs with all related parties and customers.
Potential growth responsibilities:
Negotiate with end users & key accounts with operations in the Middle East.
Develop business relationships with key industries
Identify customer needs with respect to products, pricing, and services.
Liaise with manufacturing and logistics resources to ensure that we consistently meet customers’ needs.

Position reports to: Export Manager
Key internal relationships: Work closely with Export Clerk; Technical; Planning; Logistics, Warehouse; Finance; QA/QC. and Sales & Marketing.
Provide quotations to customers on request
Accurately update and record all import/export documents
Ensure effective processing and management of export documents
Coordinate timely dispatch of orders to customers
Liaise with regional & internal colleagues to expedite orders
Arrange collection of freight and ensure that bookings do not exceed allocations
Assembling and providing reports on trade data to maintain management accounts
Accurately converting quotations into sales orders on ERP system
Maintaining and enhancing customer needs and expectations
Entering agreed shipping delivery dates while ensuring exports compliance
Providing trading services to registered representatives and customers
Track shipments and communicate with clients about the progress of shipments
Coordinate shipping with customs agencies for clearance on overseas deliveries.
Record and update all relevant information on registers/status reports
Track the movement of products/ equipment/ materials out of the country
Efficient control of original shipping documentation
Control of cost effective and lawful distribution upon receipt
Ensure payment term instructions are indicated as per contract
Compiling carrier and route assignment
Computing international fees for each shipment
Update and close export shipment files
Maintain register of closed and pending export shipment files
Archive completed export shipment files
Required at all times to communicate and escalate where appropriate business critical information gleaned from

Job Qualification & Experience:
Minimum Qualifications: Grade 12 Certificate
Advantageous: Diploma /Degree or equivalent in Supply chain management; logistics; International Trade or related.
Preferable to have knowledge of export and import administration.
Administration skills such as word reports, excel spreadsheets, power point presentations.
Computer literate: Ideally full Microsoft Office Suite including MS Visio; ERP System (Qmuzik)
Highly advantageous if you have knowledge and understanding of Middle East Africa trading environment.
Minimum Experience: 3-5 years’ related experience Logistics & Freight Industry Import & export.
Future objectives: Thorough knowledge of International Trading Terms (Incoterms). Thorough Knowledge of Customs regulations and shipping procedures (in the Middle East by Sea/Air/Road)
Ability to work in a team environment, work under pressure

Good communication (both written and verbal)
Proficiency in Business English Attention to detail (critical)
