Job Description:

Reputable equipment manufacturing company seeks an Internal Sales Manager to manage and control costing and selling of: spares, replacement parts, replacement equipment, refurbishment of machines and drives, by assisting customers and internal sales consultants in identifying and expediting the sales of the required equipment and to take control of the administrative and backup service in the department.

Position details:

Type: Permanent
Reports to: General Manager – Sales and Service.
Primary purpose: Manage and control costing and selling of: spares, replacement parts, replacement equipment, refurbishment of machines and drives, by assisting customers and internal sales consultants in identifying and expediting the sales of the required equipment and to take control of the administrative and backup service in the department.
Travel requirements: Some travelling may be involved.
Your job description includes, but is not limited to:

Customer Care:
Handle incoming and outgoing sales calls when necessary in order to maximize parts sales.
Check and ensure that correct parts are ordered in line with customer needs.
Professionally handle in and outbound e-mails, faxes and telephone calls to address all incoming parts sales orders and customer queries.
Provide exemplary customer service.
Contract management.
Follow up and report on all outstanding open sales quotations with the aim of completing the sale on time as per the customer requirements.
Answer and solve complex customer queries and support the customer during emergency breakdowns.
Telephonically support customers in advising that they carry adequate emergency stock and critical spare parts when necessary.
Provide information about warranties, operating instructions, care and maintenance of parts and delivery options.
Establish and maintain good interpersonal relationships by developing constructive and cooperative working relationships with customers and maintain them over time.
Maintain strong relations with internal departments, most notably drawing office, supply chain, manufacturing and finance.

Contract Management
Drafting, evaluation, negotiation and execution of contracts.
Serve as the point of contact for customers on contractual matters.
On all standard and nonstandard contracts, provide recommendations and until consensus has been reached.
Maintain contractual records and documentation of all contract correspondence, customer contact information sheets, contractual changes, status reports and other documents.
Engage relevant stakeholders in negotiating decisions involving legal requirements and contract standards to ensure adherence to broader finance and risk requirements.
Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation.
Monitor transaction compliance.
Oversee contractual compliance.
Ensure contract close-out, extension or renewal.
Maintain deadlines on deliverables and communicate on an ongoing basis with customers and respective staff about contractual issues.
Assess and establish potential for new contracts in support with service management.

Administration:
Check and prepare own quotes for customers.
Ensure that customer queries are addressed professionally and expedited on time.
Oversee that stock codes, parts descriptions, stock availability and pricing are correct and up to date when consultants process a sale. Ensure that the gross margin achieved is in line with budget.
Ensure that all internal parts sales orders are loaded correctly into ERP system.
Support finance department in addressing account issues with the customer.
Review the received orders for correct commercial terms, pricing, reference numbers and lead time.
Control job costing.
Assist with the budgeting process and forecast monthly internal sales parts spares turnover and gross margins.

Technical Support:
Know and fully understand all parts, components, machines and their functions.
Deal and follow-up on any technical concerns raised by customers or any internal sales consultant and ensure that these concerns are addressed by the technical department and correctly followed through by the sales consultants.
Acquiring market information by observing, receiving or researching information.
Communicate with supervisors, peers and subordinates in providing information, preparing reposts and getting information when needed.
Make decisions and solve problems by analysing the problem and evaluating results to choose the best solution.
Collaborate with sales and technical departments to facilitate the launch of changed and new products and sales.
Implement control measures to track progress of orders.

Supervision:
Supervise sales consultants on a day-to-day basis.
Ensure that sales consultants are fully trained in all products and are aware of any new product launches.
Hand advice to sales consultants related to their job and any queries they may have.
Ensure that sales consultants are up to date with feedback to clients where needed.
Responsible for sales consultants’ outputs and track team performance.
Responsible for disciplinary issues when necessary.
Responsible for staff motivation, training and evaluation.
Identify opportunities for business process improvement and initiate and implement as appropriate to improve business productivity.

Job Qualification & Experience:

Qualifications:
Technical diploma in Mechanical/electrical engineering / Drafting
A commercial qualification would be an advantage

Experience:
Work experience in technical sales (5/10 years)
Good knowledge of sales principles
Computer experience (Microsoft Office)
Proficiency in Syspro will be a definite advantage
Basic business administration knowledge
Supervision of staff (5 years)
