Job Description:

We are currently sourcing a Human Resource Administrator to support the HR function for a Telecoms industry client. Ideal candidate will be proficient in Payroll (Sage VIP) and Microsoft Excel (Pivot tables and VLOOKUP). Telecoms experience not a requirement.

Job description / core competencies:

Working with HR Manager on all aspects of HR as may be required to support the company in day-to-day, monthly and annual requirements:

  1. HR personnel files – opening new files, preparing employment contracts, issuing of all relevant documents/forms for employee completion, updating of contracts timeously, and contract terminations admin.
  2. Ensuring all files have signed off returned documents, contracts, credit check forms, etc.
  3. Maintaining up to date employee data in relation to contract expiration, work permit validity.
  4. Tracking project coding against employees.
  5. Monitoring of employee absence against leave type (paid annual, unpaid, sick, etc.)
  6. Employment finalisation process – raising F&F, issuing of UI19 documents, etc.
  7. Maintenance of ‘hard and soft’ employee data spread sheets for annual audit purposes.
  8. Introduction of new employees, below management level, into the business.
  9. Interfacing with fleet department on payroll related issues (overtime payments, deduction sign off for fines, etc.)
  10. Interfacing with HSEQ department on employee starters and leavers.
  11. Ensuring termination procedure adherence of all the employees by informing Inventory, IT of leavers to facilitate recovery of equipment, etc.
  12. Disciplinary issues: raising relevant documents under guidance of the HR Manager.
  13. Payroll: preparing input data, obtaining approvals where relevant, running payroll, issuing relevant documents to finance for payments , finalising of month end data (EMP201).
  14. Other human resource administrative related activities as may be assigned by operation team.
  15. You must faithfully, diligently, and honestly perform such duties and exercise such powers, consistent with the position to which you are appointed, as may from time to time be reasonably assigned to or vested in you.
  16. You must obey the reasonable and lawful instructions of your manager/s.
  17. You must devote all your time and attention during normal business hours and such additional time and attention as the company’s business may reasonably require, to your duties.
  18. You must use your best endeavours to promote and extend the Company’s business and shall not engage in activities which may detract from the proper performance of your duties, or which may harm the company’s reputation or brand.
