Job Description:

We are looking for a multi-disciplined Head of Operations to contribute to the purpose of the business by planning, controlling and managing the staff, processes and systems related to business operations. Operations are not limited to the workshop, but includes all internal and external process / systems required to deliver the completed product as per contractual requirements.

Your span of control will therefore include:

  • Internally – drawing office, CNC, fabrication, welding & cleaning, internal dispatch and
  • Externally – external fabrication, corrosion protection and final delivery / site works.

The ideal candidate will have a relevant degree along with a minimum of 15 years’ working experience in an operations / fabrication / production environment, 10 years’ experience leading a production team in a mid-sized business and the ability to perform duties as per 16.2 Appointment.

Primary purpose: To integrate seamlessly with other departments, achieve contract requirements and keep customer promise.
Job description / core competencies:

  • Planning (meeting delivery dates)
    • Weekly proactive planning
    • Weekly production meetings
    • Weekly production schedule for production – to include
      • prioritization of activities
      • allocation of resources
      • completion dates
    • Weekly reconciliation of planned vs completed activities
    • Meeting of delivery commitments as per contract requirements & Project Manager programs
    • Assessment of workload, prioritized and communicated appropriately with commitment dates and changes to dates as required
    • Splitting of work for workshop and for subcontracting, making sure that the company is at full capacity while commitment dates are met
  • Production management
    • Detailing, CNC, fabrication, W&C, dispatch
    • Responsible for ensuring all production is well planned and runs effectively and efficiently
    • Responsible to meet weekly, monthly and annual production targets
    • Meet internal production commitment dates
    • Provide production-related technical advice and input into projects
    • Management and control of external subcontracted fabrication
  • Labour budgets
    • Improvement on daily, weekly & monthly
      • Total labour budget
      • Labour overtime budgets
      • Proportional to budgeted tonnages
    • Labour efficiency ratio
    • From time to time, assist tendering department with realistic costing & timing
  • Full delivery of projects
    • Ensuring each area/lot is 100% manufactured, bought out, dispatched – accounted for and jobs are 100% closed out
    • Shortages, if found, are only one process behind
  • SHEQ Management
    • Perform duties as per 16.2 Appointment
    • Operational safety targets
    • Implementation of Health and Safety System, including training, maintenance, system compliance and checklists, learning and improvements from incidents
    • Ensure all appointed personnel understand their liabilities & responsibilities
    • Ensure all appointed personnel are competent and able to fulfil their obligations in terms of their appointment
    • Overseeing and supporting safety officer in meeting targets
  • Continuous improvement
    • Investigate production problems and analyse the root causes
    • Implement and monitor lasting solutions to solve problems
    • Lead continuous improvement efforts & implementation
  • Quality assurance
    • In conjunction with Quality Manager ensure production team is working to ISO 9001:2015 procedures
    • Workshop errors
  • Maintenance and control of equipment
    • Setting maintenance budgets
    • Ensure servicing and maintenance of production equipment is conducted, when planned and within budgets
    • Complete annual equipment stock take ensuring asset register and safety equipment registers are up to date and correct by 28th February annually
  • Logistics
    • Coordinate and manage & transport to ensure efficient and effective logistics and movement of materials
    • Setting maintenance budgets
    • Ensure servicing and maintenance of trucks are conducted, when planned and within budgets
  • Finances
    • Responsible for setting operational budgets aligned to sales targets
    • Operational performance to budget
  • Communication & meetings
    • Lead (L) or proactively participate (P) in the following meetings:
      • (L) Production meeting – Weekly
      • (P) Capacity planning meeting – Weekly
      • (L) Production team morn meet – Daily
      • (L) Safety Committee – Monthly
      • (L) SHEQ meeting – Bi-monthly
      • (P) Department meetings – Monthly
      • (P) CI meeting – Bi-monthly
      • (P) HR meeting – Bi-monthly
      • (L) Subcontractor meeting – Bi-monthly
      • (P) Management meeting – Monthly
      • (P) Finance meeting – Monthly
    • Workshop communications
    • (L) Daily workshop meeting
    • Weekly 1 on 1’s with all direct reports
  • Staff development/training/coaching
    • Operations team meets on a weekly basis for:
      • progress made against key metrics
      • holding team accountable
      • sharing of knowledge
      • team development
    • Annual performance reviews conducted for all subordinates and any workshop evaluations that are conducted
    • Complete production team “Talent Assessment “and develop Personal Development Plans (PDP’s) (with the help from HR)
  • Personal development
    • Develop personal development plan and commitment to key outcomes of the plan
    • Personal and key team members

Job Qualification & Experience:

Experience

  • A minimum of 15 years’ working experience in an operations / fabrication / production environment
  • A minimum of 10 years’ experience leading a production team in a mid-size business
