Job Description:

Our client is an international operations and maintenance company in the transportation industry in Africa. Position reports to the Configuration Supervisor in the Finance Department. A 3-month contract to start immediately. Experience with EQMS and SharePoint.

Main Purpose: Manage company documents and records in accordance with company policies and procedures. Use of the Papertrail system: Assist Configurations Supervisor in ensuring data integrity and data capture, logging meetings. Change Management – Close out proposed changes (projects) that have been completed. Desirable Qualities: Attention to detail; good communication skills; initiative and enthusiasm; must be able to work without supervision; must be able to work in a team.

Position details:

Type: 3-month contract
Reports to: Configuration Supervisor
Primary purpose: Administration of company documents and records in accordance with companies Policies and Procedures. Using the Papertrail system:
Assist the Configurations Supervisor to ensure data integrity and data capturing, minutes of Meeting. Change Management – close off Change Proposals (Projects) that have been completed.

Job description / core competencies:
Using the Papertrail system:
1. Assist the Configurations Supervisor to ensure data integrity.
2. Data capturing:

Documents
Minutes of Meeting
Assist with transferring documents onto Templates

Additional Tasks
Assist to clear requests in the Doccontroll Inbox of tasks that have been actioned.
Sharepoint Clean-up & remove documents that have been actioned and available on EDMS.
Verification of CJV as-built drawings available on EDMS and filed at Metrofile.
Scanning of Monthly Service Delivery Submissions (as and when)
Change Management – close off Change Proposals (Projects) that have been completed.
Liaison with Divisional Change Owners and ensure all records are filed according to Change
Proposal Number (Asset Handover Preparation).

Matric
Other Technical/ Professional Skills/QuaIifications
Computer Literate. Microsoft Office, Document Control Experience and Qualification will be an advantage.
Language Ability: English Spoken
Years of Experience – 1 year
